Set Up Inventory Management

The Inventory Management module (internally warehouse) is a full transactional stock management system: article master data, stock per branch, goods in and out, stocktakes, transfers between branches, optional reports and an optional sync with external inventory systems. It is built for hospitality, shops and clubs that want to not just catalog their goods but track every movement.

Automatic Firebase Setup

The Firebase setup (security rules, indexes) happens automatically when you publish your app. You don’t have to worry about Firebase when activating this module.

Difference from the Inventory module

Inventory Management and the Inventory module sound similar but solve different tasks:

Which module?

If it’s about stock that moves (warehouse, counter, sales, multiple branches) → Inventory Management. If it’s a static list of items (club inventory, equipment archive) → Inventory.

Activation

1. Open Edit Mode in your app

2. Go to Modules & Features

3. Tap Inventory Management and then Activate

4. The module is ready to use immediately

One-tap activation

Inventory Management is activated with a single tap — there is no setup wizard. The module settings have sensible defaults. The Firebase collections (for articles, stock, bookings) are set up automatically when you publish.

Business module

Inventory Management is a business module. In the published app it is license-bound; in the App Builder you can test it freely.

Locations module required

For multi-branch, the Locations/Branches module is used. Without active branches, Inventory Management keeps stock for a single location — fully functional, just without branch separation and transfers.

Access rights

Role	Rights

Branch managers / staff	Only their own branch(es); bookings and stocktakes within them
Staff (articles)	Create articles only if the admin toggle is enabled

Stock visibility

The admin toggle Cross-branch stock visible controls whether a branch can see other branches’ stock. When off, each branch sees only its own stock.

Blocq-only or an external system

ERP leads when active

If an external inventory system (Xentral or plentyONE) is connected, the external system leads. The manual booking buttons (goods in/out) are then hidden — bookings happen there and the stock is mirrored. Without a connection, Inventory Management runs fully in Blocq-only mode.

For hospitality, the sync is usually not relevant — Blocq-only mode fully covers counter, warehouse and stocktake.

Tips

Start with categories and units

First create your units (pieces, kg, liters …) and categories. Then you can sort articles cleanly and report on them.

Use custom fields deliberately

Need best-before, batch or allergens? Create matching custom fields instead of writing the info into the description.

Enable the scanner

Enable the barcode scanner — it makes stocktakes and article search at the warehouse and counter significantly faster.
